What does the Time Recording software look like?

The software comprises three different modules:-

CHIPDRIVE Time Recording software

A cost effective time recording solution for small to medium-sized companies who want to automate administration, management and analysis of their employees and project hours

CHIPDRIVE PC Time Clock

Using the bundled application CHIPDRIVE PC Time Clock, remote workers or office staff can clock in and out of their own PC (requires additional CHIPDRIVE Time Recording PC readers for each user). These entries are sent to the CHIPDRIVE PC Time Clock Server via the local TCP/IP network or remotely via e-mail using the internet.

CHIPDRIVE PC Time Clock Server

Receives the clocking entries from PC Time Clock and passes this information on to the central system, the CHIPDRIVE Time Recording software.

Overview of Features:-

Data Storage

• accommodates files for multiple individuals in one corporate folder
• no database needed, directly usable
• data folder can be stored on an eligible drive
• automatic backup function, alternatively as ZIP-package

Data Control

• efficient search function for incomplete data
• clear presentation of all clocking transactions in one view

Time Frame Periods

• standard period is one calendar month; if target time is set, then automatic transfer of hours into flexi time balance
• other options: weekly, every two weeks, twice per month, monthly with variable starting date

Time Rounding

• optional rounding of clock-in and clock-out-times using values of 5, 10 or 15 minutes
• additional options: arithmetical rounding, always round up, always round down, always for the benefit of the company, always for the benefit of the employee

Target Times

• options: weekly working hours, daily working hours, monthly working hours, no target time (for temporary employees)

Automatic Breaks

• select up to three fixed breaks or one variable break with scalable lengths depending on attendance times

Flexitime Balance

• variety of balance options

Holidays – Sick Days – Extra Days off

• annual holiday calendar for holidays, illness and extra days off valid for every employee
• entries can also be made in the monthly calendar view “Edit - Logs“
• possible options: holiday entitlement, automatic transferring of remaining days of vacation, no automatic transferring of remaining days of vacation, define manually remaining days of vacation, optional date of expiry
• pre-defined events covering “Extra day off” (vocational training, moving house, weddings), user-definable

Holiday Plan

• global view on planned absences of all employees
• quick change from week to week by switching back and forth or by directly selecting the year, the month and the week
• show or hide employees without any entries
• printed weekly holiday plan matches the view displayed on screen
• all employee annual holiday can be exported to Excel

Rates

• categories: Monday through Friday, Saturday, Sunday, public holidays, public holiday/Sunday can be divided into intervals with custom defined rates
• up to 20 different rates
• specialised handling of rates for instance for the Monday-share of a Sunday-nightshift or days following a holiday

Employee Analysis

• “summary“ or “detailed“ employee reports
• summary report includes daily start and end times, breaks, total time, target time, day +/-, month +/- and fits on one page
• detailed report shows all individual logs
• employee related rate analysis and printed personal holiday overview
• all reports can be printed with the option of a print preview for reports for single employee

Projects and Tasks

• set up of almost any number of projects
• a project ID consists of a name and project number containing up to 8 digits
• project list can be sorted and printed according to name or project
• tasks or subprojects have an additional “factor” that allows the tasks or project to be analysed according to effort
• the financial summary resulting from a project analysis, contains the total costs for all involved resources
• the cost for each resource involved in a project is stored in the personal settings under ‘Cost per hour’

General Overview

• generates an overview of people and projects on any given day
• the priority for the overview can also be set either to people or projects

Snap-shot Overview

• especially useful if using the PC time and attendance module or directly after transferring data from the CHIPDRIVE mobile unit to the PC
• immediately transparent who booked when, who is on holiday or who is ill

Analysis using Excel export

• ideal for use as basis for payroll accounting
• Excel table contains one row per employee with all relevant data, including an apportionment of working times broken down into the relevant rates
• significant flexibility with project analysis, being able to select: periods of work, people, projects and tasks
• for detailed personalised analysis there is a choice of a Excel file for each person or one file for all employees
• Excel overview of annual holiday for all employees, consisting of one Excel table per calendar month

PC Time and Attendance Module

• transforms a PC with a connected CHIPDRIVE® card reader into a Time and Attendance terminal
• can be used as a stand-alone installation or with other PC terminals as part of a networked time recording system
• almost any number of PC terminals can be connected within a time recording network
• using the TCP/IP network protocol with a network type installation, a PC Time and Attendance server controls the data transfer between the terminals as well as the centralised information consolidation
• the PC Time and Attendance module can communicate with a Time and Attendance server also via email
